Buyer's Guide

Start here

Most software projects go wrong before a single line of code is written. This page maps the journey from a rough idea to owned, maintainable software, and shows the right entry point for where you are right now.

Before you hire

What to prepare before you hire a development team

You do not need a finished specification, but buyers who can describe the problem, users, outcome, scope, and acceptance criteria get better estimates, fewer disputes, and less rework. If you cannot answer these, that is a reason to start with requirements planning, not a reason to delay.

See how requirements planning works
  • The problem you are solving and the outcome you expect
  • Who the users are and what they need to do
  • What success looks like in measurable terms
  • What is in scope and, just as importantly, what is out of scope
  • Functional requirements written as testable statements
  • Non-functional needs: performance, security, availability, accessibility
  • Acceptance criteria for the most important workflows
  • Known assumptions, dependencies, and constraints
  • Integrations with existing systems and who owns the data
  • A rough budget range and timeline expectation
  • Who will own decisions on your side
  • How you will evaluate quality before go-live
Working together

How engagements work

Kairosys is a founder-led software development consulting and engineering firm. We keep the first step simple and the scope explicit.

Email-first intake

Describe the situation, the outcome, and any timeline by email. No sales call is needed to start the conversation.

Defined deliverables

Scope, deliverables, timeline, and fee are agreed before work starts. Reference engagement patterns are anonymised, not client case studies.

Works with your team

Engage one service or several. We can advise, plan, build, verify, and document alongside an existing team or vendor.

Questions

Common questions about starting

How do I start a software project with Kairosys?

Email [email protected] with a short description of the situation, the outcome you want, and any timeline. The website uses email-first intake rather than a sales call as the first step. From there we recommend the right starting service, which is often consulting or requirements planning before development.

Do I need requirements before I hire a development team?

You do not need a perfect specification, but you should define the problem, users, outcome, scope, requirements, and acceptance criteria before committing to a build. Clear requirements reduce scope disputes, rework, and vendor dependency. Requirements work can be done in a short, focused engagement.

Can I start with one service and add others later?

Yes. Every service can be engaged independently. Many engagements start with consulting or requirements planning, then move into build, independent QA, and documentation as the project progresses. The deliverables, timeline, and fee are agreed before work starts.

What if I already have a development team or vendor?

Kairosys can work alongside an existing team. That includes independent QA, requirements and delivery planning, architecture review, documentation and handover support, or advisory when delivery is at risk. Independent verification is valuable when the builder should not be the only person checking its own work.

What should I prepare before the first conversation?

A short written summary is enough: the problem, the users, the outcome, what already exists, any known constraints, and your rough budget and timeline. If you have documents, diagrams, or an existing system, share those too. We will tell you what is missing.

How is work scoped and priced?

Engagements are scoped individually. Advisory work is typically a fixed-fee engagement or retainer; requirements, QA, documentation, and engineering work are scoped around deliverables, timeline, and team involvement. The deliverables, timeline, and fee are agreed before work starts.
