Refund & Cancellation Policy

At Kairosys, we value our clients and strive to deliver high-quality digital solutions that meet every project goal.
This Refund & Cancellation Policy is designed to ensure transparency, fairness, and a smooth experience for all our customers.


1. Order Cancellations

  • You may cancel your order within 24 hours of placing it for a full refund, provided that work has not yet begun.

  • Once the project or service setup has started (e.g., design, coding, or planning stages), cancellations may incur a processing fee based on the progress completed.

  • If your project has reached the delivery or deployment phase, cancellation is no longer possible.


2. Subscription Cancellations

  • Subscriptions (e.g., maintenance, hosting, or SEO services) can be canceled anytime.

  • To avoid charges for the next billing cycle, please cancel at least 3 days before your renewal date.

  • After cancellation, your subscription remains active until the end of the current billing period.

  • No partial refund will be provided for unused days within the current billing cycle.


3. Service / Project Cancellations

  • Clients may cancel ongoing services or projects up to 3 business days before the scheduled milestone or delivery date for a full refund of unutilized funds.

  • Cancellations made less than 3 days before a scheduled delivery may incur a 10% administrative fee to cover preparation costs.

  • In case of delayed communication or inactivity from the client for more than 30 days, Kairosys reserves the right to mark the project as completed, with no refund eligibility.


4. Refund Policy

  • Eligibility: If you are not satisfied with our work and we cannot resolve your concern within 30 days, you are eligible for a full or partial refund, depending on project completion status.

  • Partial Refunds: If cancellation occurs during an active project, refunds will be provided only for the unworked or pending portion.

  • Completed Work: Refunds are not applicable once the final deliverables (designs, code, applications, or content) have been submitted or deployed. However, our team will make every effort to resolve any issues to your satisfaction.

  • Third-Party Services: Refunds do not cover third-party expenses such as domain registrations, paid plugins, software licenses, or advertising costs.


5. How to Request a Refund

To request a refund or cancellation:

  1. Send an email to [email protected] with your project title, order number, and reason for the request.

  2. Our support team will review your case and respond within 3 business days.

  3. Approved refunds will be processed within 10–14 business days via your original payment method.


6. Cancellation Policy (Additional Conditions)

  • Kairosys reserves the right to cancel a service or project if:

    • The client violates our Terms & Conditions or Payment Policy.

    • The project involves misleading information, illegal activities, or unethical content.

    • The client fails to provide necessary details, approvals, or materials for over 30 consecutive days.

  • In such cases, refunds (if applicable) will be processed after deducting costs for completed work or administrative fees.
